Privacy Policy

Mindiam (ABN 50 797 437 657) operates mindiam.com (the “Site”) and the editorial publication and consulting services offered through it. We are bound by the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). This policy explains what personal information we collect, how we use it, and your rights.
1. Information we collect
We collect personal information only when you provide it directly:
- Email address - when you subscribe to the newsletter, download a resource, or submit a contact form.
- Name + business details - when you book a discovery call or submit a consulting enquiry.
- Communications - emails or messages you send us.
We do not collect sensitive information (health, racial origin, religion, political opinion) unless you volunteer it as part of an engagement and we have your explicit consent.
2. How we use your information
- To deliver editorial content you subscribed to.
- To respond to consulting enquiries and deliver engaged services.
- To send the weekly newsletter and one-off announcements you opted in to.
- To improve our content and services through aggregated, anonymous analytics (no individual tracking).
We do not sell your information. Ever. We do not use it to train any AI model. We do not share it with third parties except where listed under “Disclosure to third parties” below.
3. Cookies + analytics
We use Plausible Analytics for aggregated, cookie-free traffic stats. No individual user is identifiable. We do not use Google Analytics, Meta Pixel, or any cross-site tracking on the editorial site. Newsletter opens and link clicks are tracked at the aggregate level by Mailgun for sender-reputation hygiene.
4. Disclosure to third parties
Personal information may be processed by these service providers, each bound by their own privacy obligations:
- Mailgun - email delivery (newsletter + transactional)
- EspoCRM - self-hosted CRM (we run the server; no third party)
- Vercel - site hosting + edge runtime
- Cloudflare R2 - image + file storage
- Reclaim.ai - discovery-call calendar booking
Where engaged consulting work involves AI tools (e.g. Anthropic Claude Enterprise, Microsoft 365 Copilot), we operate under their respective no-training-on-customer-data terms. Specifics are documented per engagement.
5. APP 1.7 - automated decisions
From 10 December 2026, the OAIC's APP 1.7 transparency obligations require disclosure of automated decision-making affecting individuals. Mindiam does not use AI to make decisions about you. AI is used in our editorial workflow for grammar checks and tone adjustment on draft content - every published claim is fact-verified by a human editor against verbatim source material per our editorial standards.
6. Affiliate disclosures
Some posts contain affiliate links (we earn a commission if you sign up with the linked vendor). When you click an affiliate link from a Mindiam post, the affiliate network places its own cookie on your device - see the destination's privacy policy for their data handling. We do not share your identity with affiliate networks; they only see UTM-tagged click data showing which Mindiam page sent you. See our affiliate disclosure for full commercial terms.
7. Your rights
Under the Privacy Act and APPs you have the right to:
- Access your personal information we hold
- Correct information that is inaccurate
- Delete information at any time (right to erasure)
- Unsubscribe from newsletters with 1 click - every email has the link in the footer, honoured within 1 hour
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)if you're unhappy with how we've handled your data
8. Storage + security
Personal information is stored on systems with TLS encryption in transit and at rest. Email addresses are stored only in EspoCRM (self-hosted) and Mailgun (for active campaigns). We retain data only as long as needed to fulfil the purpose for which it was collected - newsletter emails retained while you're subscribed; consulting-engagement records retained per ATO record-keeping requirements (5 years).
9. Children's privacy
Mindiam services are not directed at children under 18. We do not knowingly collect personal information from minors.
