Mindiam (ABN 50 797 437 657) builds AI automations and custom AI software for Australian businesses, and runs the site at mindiam.com (the “Site”). This policy explains, in plain English, what personal information we collect, why we collect it, who helps us process it, and how you can get it changed or removed. If anything here is unclear, email us and we'll explain it like a human.
1. What we collect
We only collect information you give us directly:
- Contact + enquiry forms: your name, email, and whatever you tell us about your business when you book a call or send an enquiry.
- The quiz: your answers about where AI could save your team time, plus the email you give us to send the result.
- Newsletter: your email address when you subscribe to The Mindiam Weekly.
- Messages: the content of emails or messages you send us.
- Source info: basic attribution like the page or campaign that referred you, so we know which content is working.
We don't ask for sensitive information (health, beliefs, and the like) and we'd rather you didn't send it. If it comes up during an engagement, we only hold it with your say-so.
2. Why we use it
- To reply to your enquiry and scope the work you're after.
- To send you the quiz result you asked for.
- To send the weekly email and the occasional announcement you opted in to.
- To understand, at an aggregate level, which pages are useful so we can make the Site better.
We never sell your information, and we never feed it into an AI model to train it. We only share it with the providers listed below who help us run the business.
3. Cookies + analytics
We use Plausible Analytics for aggregated, cookie-free traffic stats - no individual is identifiable, no cross-site tracking, no Google Analytics or Meta Pixel. Newsletter opens and clicks are tracked at the aggregate level by Mailgun so we can keep our email deliverability healthy.
4. Who helps us process it
Your information may be handled by these service providers, each bound by their own privacy obligations and used only to run Mindiam:
- EspoCRM: our self-hosted CRM, where enquiries, quiz results, and contact details live (we run the server)
- Mailgun: sends our newsletter and transactional email
- Payload CMS: powers the site content and stores form submissions we receive
- Vercel: site hosting and edge runtime
- Reclaim.ai: calendar booking for your call
When we build automations or software for you, the work runs on tools we agree in writing with you first, and we hold any data you give us only for the engagement. The specifics are set out in your engagement letter, not here.
5. AI and your information
We build with AI, so it's worth being clear: we do not use AI to make any decision about you, and your contact, quiz, or newsletter data is never used to train a model. Any AI we use to help draft or organise our own content runs under no-training terms, and a human checks the output before it goes out.
6. Your choices
At any time you can ask us to:
- See the information we hold about you
- Fix anything that's wrong
- Delete your information
- Unsubscribe from the newsletter with one click - every email has the link in the footer, and we action it within an hour

7. Storage + security
Your information is stored with encryption in transit and at rest. Email addresses live in EspoCRM (self-hosted) and Mailgun (for active campaigns). We keep data only as long as we need it. Newsletter emails while you're subscribed, and engagement records for as long as our record-keeping obligations require, then we remove them.
8. Children's privacy
Mindiam services are aimed at businesses, not children under 18, and we don't knowingly collect information from minors.

10. Updates
We update this policy when our practices change. The “Last updated” date above always reflects the most recent revision, and material changes get a mention in the newsletter.
